What is the WestFax CloudFax Toolkit

The CloudFax Toolkit is a robust windows based service that supercharges inbound/outbound fax workflows.

The WestFax CloudFax Toolkit, in a nutshell, is a Windows-based service that acts as an all-in-one fax document engine – Enabling robust inbound and outbound fax document workflow with unlimited customizable actions.

It is available to entperise customers who have at least a HIPAA 1500 plan. It caters to customers that utilize EHR inbound and outbound processes as well as customers that need additional automations. Let's go into a few of the key use-cases below to give you a better understanding of what the CFT can do for you and your organization.


Inbound Workflows:

  • Inbound Download:
    A user can specify a fax line and choose a location for the files to be delivered. The location must be available to the service user account. It can be a local folder, network folder, or UNC path. Files can be TIF or PDF. The files can also have a custom naming convention (be sure to use a naming convention that provides a unique file name).

  • Inbound Autoprint:
    Inbound faxes can be routed to a user's printer of choice and are managed on a fax line-by-line basis. This feature, once only available on FaxTools, can now be configured at the enterprise level with CFT.

  • Inbound Email Delivery
    Instead of using WestFax email servers for inbound fax delivery one can utilize customer specified SMTP servers to route email to users from Inbound faxes.
Outbound Workflows:

  • Drop Folder Faxing:
    Many EHRs utilize a file-based sending mechanism. In some cases, these are FCL files (Fax Control Language), FAX files, and CTL files. Most of these files are in a structured data format such as XML or equivalent. These files contain information such as from, to, subject, cover page settings, and fax file locations. These files are dropped into a specific watch folder that is monitored by CFT. When a file is present, it is opened, validated, and parsed for processing. Once a fax job is processed, it is sent to our API directly for sending.

  • Outbound Fax Printed Receipts:
    Outbound fax receipts can now be routed to a print location or file location (or even an email address) for all faxes that are sent, regardless of the method.

  • EPIC .FAX Drop folder faxing
    We can natively utilize FCL files (Fax Control Language) output from EPIC EHR™ to send outbound faxes and even map coversheets to those faxes. With custom file post-processing we can generate NT1 files to update EPIC fax send status automatically. No more custom development or expensive developer time needed.

  • PeopleSoft CTL Drop folder faxing
    We can interface with Peoplesoft to automated outbound faxing from their document engine. This allows customers who rely on other third party systems and complex automations to quickly be up and running with no custom development.
Utilities:

  • Active Directory SSO Sync:
    This module is a bridge from your local Active Directory instance to WestFax. It enables you to map security groups to WestFax Fax lines or the entire account. It gives you the ability to set it and forget it and let the logins and permissions be set automatically by Active Directory. If a user is added or removed from the security group, they will have access to the respective WestFax fax # or account updated.

    This feature requires an SSO set up (done separately) with WestFax. We support most SAML 2.0 based SSO platforms. For the AD Sync module to work you must federate or synchronize your SSO with your local active directory. Out of the box Microsoft has this capability. Other platforms have tools to sync the cloud SSO with the local server’s active directory or LDAP. This is the starting place for setting up these sync groups. There are three tabs across the top that are important. We will start with this one.

  • Allowed Sender Sync:
    An allowed sender is a class of user that can send a fax via normal email. An allowed sender has their email address assigned to one fax number and if westfax.com receives and email from them with the fax number format (9999999999@westfax.com) we will convert the email to a fax and send it from the fax number that they are assigned to. They will get an email receipt that tells the fax has been sent or encountered an error. Setting up allowed sender sync is very similar to setting up active directory security groups but instead of hard users they are just configured as Allowed senders for a particular fax line. The relationship between normal users with a login and allowed senders is completely independent.

CFT transforms the management of inbound faxes, making it straightforward and easy to set up any inbound fax workflow. Utilizing its Inbound Fax Actions feature, CFT can process inbound fax documents to a network-connected printer, a specific network folder location, or routed to email using a local SMTP relay. This not only streamlines access to vital information but also enhances the continuity of patient care by supporting diverse document delivery methods that work with your existing architecture.

Outbound faxing, whether from an EHR, MFP, email, or automated process, is built in and is extremely flexible to accommodate any use case. For instance, many of our customers who utilize EPIC EHR have found the migration process from existing legacy hardware to CFT to be as simple as changing a few configuration settings. No matter the outbound process, we have an engine that can manage outbound workflow and adapt to any customer requirement.
