Email to Fax · Fax to Email
Send a fax straight from your inbox.
Address an email to faxnumber@westfax.com, attach your document, and hit send — WestFax delivers it as a fax and emails you the delivery report. Incoming faxes land right back in your inbox. No portal login, no fax machine, nothing to install.
Works with any email client — Gmail, Outlook, Microsoft 365, Google Workspace, and more. HIPAA-compliant, with a Business Associate Agreement on every plan.
How it works
Address. Attach. Send. Delivered.
If you can send an email, you already know how to send a fax. WestFax recognizes your account from your email address and handles everything else — authentication, conversion, transmission, and confirmation.
faxnumber@westfax.com — for example, 8885551212@westfax.com. No spaces, parentheses, or hyphens.Your email, your way
Fax from Gmail, Outlook — any inbox
Because it’s just email, there’s no plugin to install and nothing to configure in your mail client. Pick yours. The only requirement: your address is set up as an approved sender on your WestFax account.
How do I send a fax from Gmail?
- Click Compose and address the message to the fax number followed by
@westfax.com. - Attach your documents — the subject line travels as the fax reference.
- Send. Your delivery report arrives back in Gmail.
Works the same from the Gmail app and Google Workspace. Tip: add /faxattachmentsonly to the subject so your Gmail signature doesn’t become an extra fax page.
How do I send a fax from Outlook?
- Click New mail in Outlook — desktop, web, or Microsoft 365 — and address it to
faxnumber@westfax.com. - Attach the files to fax; multiple attachments become one fax.
- Send, and watch for the delivery report in your inbox.
Rolling this out to a whole office? WestFax support can authorize your entire company domain so every Outlook user is an approved sender at once.
How do I send a fax from Yahoo Mail?
- Click Compose and address the message to
faxnumber@westfax.com— the destination number, no dashes. - Attach your documents.
- Send. WestFax converts, transmits, and emails you the result.
Yahoo Mail publishes SPF records by default, so approved Yahoo addresses pass WestFax’s sender validation cleanly.
How do I send a fax from Apple Mail?
- Open a New Message on your Mac, iPhone, or iPad and address it to
faxnumber@westfax.com. - Attach the documents you want to fax.
- Send it like any other email.
Apple Mail sends from whichever account is selected — make sure it’s the address approved on your WestFax account (iCloud, work, or otherwise).
How do I send a fax from AOL Mail?
- Click Compose and address the message to
faxnumber@westfax.com. - Attach your files — PDF, Word, images, and more.
- Send, and the delivery report comes back to your AOL inbox.
Any AOL address works once it’s been added as an approved sender on your WestFax account.
How do I send a fax from Proton Mail?
- Click New message and address it to
faxnumber@westfax.com. - Attach your documents.
- Send. Mail to non-Proton addresses goes out as standard email — exactly what WestFax expects.
Proton’s domains carry valid SPF records, so approved Proton addresses pass WestFax’s anti-spoofing checks.
How do I send a fax from Zoho Mail?
- Click New Mail and address it to
faxnumber@westfax.com. - Attach the documents to fax.
- Send it — conversion, transmission, and the receipt are handled by WestFax.
Using Zoho with a custom company domain? Standard Zoho setup already includes its mail servers in your SPF record.
How do I send a fax from Fastmail?
- Click New message and address it to
faxnumber@westfax.com. - Attach your documents.
- Send. Your delivery report arrives like any other reply.
Fastmail publishes SPF for both fastmail.com and custom domains, so approved senders validate cleanly.
Fax to Email
Receive faxes in your inbox
Someone faxes your WestFax number; the right people get an email the moment it arrives.
- Attached as PDF or TIFF — open it right from the email
- Or notification-only — the document stays in the secure portal
- Optional OCR makes received PDFs readable, searchable text
- Everything also lives in your portal inbox — view, print, or forward anytime
Handling PHI? Notification-only keeps documents out of email entirely. And email is one of many inbound routes:
- Secure web portal
- Fax API
- FTPS
- SFTP/SSH
- Automated printing
- EHR & document systems
Power features
Your subject line is a control panel
Optional commands in the email subject fine-tune each fax — schedule it, pick the resolution, add a cover page — without opening the portal. Skip them entirely and sensible defaults apply: three transmission attempts, five minutes apart, unless your fax line is configured otherwise.

The details that make it dependable
Ten file formats
Attach Word, Excel, PowerPoint, Publisher, PDF, TIFF, RTF, PNG, JPG, or GIF — one file or many. WestFax converts them all into the pages of your fax.
Cover pages, on file
Design cover pages in the portal with your company name, address, logo, and footer. Name one default and it’s added automatically; invoke others with /cp Name.
Delivery reports, your way
Per sender, choose a receipt for every fax, a receipt with a first-page thumbnail, failure-only alerts, or none at all — with everything still logged in the portal outbox.
Body, attachments, or both
You decide what gets faxed. Most teams send attachments only, so an email signature or disclaimer graphic never becomes an accidental extra page.
Many senders, many lines
Associate one or more approved email addresses with one or more fax lines — each sender with its own line and its own delivery reporting.
Authorize a whole domain
Rolling out to a large team? WestFax support can approve your entire company domain, so every address at your organization can fax by email at once.
Security
Only approved senders. Verified every time.
An email address that can send faxes from your account is real power — so it’s locked down like it matters.
- Approved senders only — your admin adds each address, picking its fax line and reporting
- SPF checked on every message — a spoofed “approved” address gets nowhere
- Clear rejections — refused with an explanation, never silently transmitted
- DKIM and DMARC recommended on your domain, alongside SPF
Admins manage all of this under My Account → Fax to Email Settings — or ask support to authorize your whole domain.

FAQ
Email to fax, questions answered
No. Email to fax is restricted to approved senders. An administrator adds each email address as an Allowed Email-to-Fax User in the WestFax portal (Home portal → My Account → Fax to Email Settings) and chooses which fax line and delivery reporting that sender uses. An entire company domain can also be authorized through WestFax support. Email from an unapproved address is rejected, not transmitted.
The two most common reasons: the sender address has not been configured for Email-to-Fax, or the email failed SPF validation. WestFax enforces Sender Policy Framework validation to keep spoofed addresses from sending faxes on your account — your domain needs a valid SPF record, and the mail server delivering the message must be authorized by it. WestFax also recommends configuring DKIM and DMARC on your domain.
You can attach Microsoft Word, PDF, TIFF, RTF, Excel, Publisher, PNG, JPG, GIF, and PowerPoint files. Multiple attachments can be sent in a single email — WestFax converts them into the pages of the outgoing fax.
Yes. When someone faxes your WestFax number, WestFax receives it on its fax network and emails the configured recipients — with the fax attached as a PDF or TIFF, or as a notification-only email if you prefer to keep documents out of email entirely. With notification-only delivery, you sign in to the secure portal to retrieve the fax. Every inbound fax also remains available in your portal inbox.
Yes. WestFax is a HIPAA-compliant cloud fax service and every current plan includes a Business Associate Agreement. For PHI, WestFax recommends a HIPAA-oriented cover page and offers notification-only inbound delivery so documents stay in the secure portal instead of your email environment. Organizations receiving PHI by email should consult their IT and compliance teams about their email security configuration.
Yes. Commands in the email subject line control the fax: /d YYYY-MM-DD HH:mm schedules it for later, /cp adds your default cover page (or /cp CoverpageName for a specific one), /rf sends at fine resolution, and /faxattachmentsonly keeps your email signature from becoming an extra fax page. You can also set transmission attempts and retry intervals — see the full command reference.
Yes. Each approved sender’s reporting is configurable: a receipt for every fax with completion time, page count and result; a receipt with a thumbnail of the first page; failure-only notifications; or no email feedback, with everything still visible in the portal outbox. Organizations handling PHI should consider whether a first-page thumbnail in email fits their security policies.
Email to fax is included with every WestFax plan. Plans start at $15/month for Solo (500 included pages and one user) and $40/month for Team (1,500 included pages and 5 users). Included pages are an allowance, not a hard cap — additional pages are billed at your plan’s overage rate. For higher volume, Enterprise pricing is custom.
